Summary of Position:

Our client is a fast growing healthcare organization based in Grand Rapids, MI. This newly created role will provide high-level administrative support to the CEO and other senior staff, as well as take on a variety of special projects while overseeing management of the growing office.

Essential Job Function:

  • Provides high-level administrative and logistical support and assistance to the CEO and other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other document management.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping planning travel and meetings
  • Anticipate and prepare information and materials needed by the leadership for meetings, appointments, and events.
  • Arranges travel and accommodations for executives.
  • Compiles, reviews and generates reports, statistics, timelines, graphs, correspondence and presentations.
  • Performs other related duties and additional duties leads special projects as assigned by executives.

  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines and multi-task.
  • Leverage sound judgment and initiative in unique situations.
  • Ability to function well in a high-paced and at times stressful environment.
  • High degree of confidentiality.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Proactivity and self-direction Interpersonal skills

Education and Experience

  • High school diploma required: Bachelors degree in Business Administration or related field preferred.
  • At least four years of related experience required.
  • Current Notary or willing to get Notary license upon hire
