Payroll Specialist (New Hamburg, ON)
Job Description: Our client who is one of the biggest privately held
suppliers of refrigerated transport in North America, that specializes
in the prompt, secure delivery of temperature-controlled delicate
products throughout Canada and the United States, is looking for a
Payroll Specialist in New Hamburg, ON. Salary: 60-70k annually
Position Type: Onsite Shift
Hours: Monday - Friday 8:00AM - 4:30PM
What Tasks Will You Perform?
Ensure accurate and consistent payroll production for the company,
including pay calculations, accounting for all employees, tracking
authorized extra pay, and printing and distributing deposit slips.
Adhere to federal payroll legislation and company guidelines for
bi-weekly pay processing.
Identify situations for extra payments, such as company bonuses, shift
premiums, tool allowances, etc., and process them accordingly.
Understand and account for differences in deductions for Ontario,
Manitoba, and Quebec.
Verify the accuracy of timecards and terminal driver summary sheets,
ensuring entitlements are in line with company policy. Input data into
the Infinium system (AS400) and comprehend the various input areas and
affected screens.
Import and confirm the accuracy of payroll data from the NTE1000 (Time
& Attendance) system.
Audit the Payroll Register for accuracy, reviewing source deductions,
garnishments, insurance arrears deductions, and more. Make necessary
adjustments and prepare manual checks when needed.
Add new employees to the payroll system and update existing employee
records as necessary.
Process employee terminations and complete Records of Employment in a
timely manner.
Print direct deposit pay stubs and organize their distribution to all
terminals.
Address employee inquiries as needed, and maintain and update employee
files, including enrollment, termination, personal information changes,
premium deductions, and pay increases.
Oversee and submit government reporting on a bi-weekly, monthly, and
yearly basis (e.g., source deductions, employer health tax, T4's,
releases, records of employment, etc.). Train and monitor the Payroll
Assistant, conducting performance reviews as needed.
Support the Payroll Manager in keeping employees informed of
payroll-related changes.
Review and update, or establish new, payroll department processes and
Standard Operating Procedures (SOPs) as necessary.
Perform any additional duties as required.
Qualifications:
Requirements / Preferred Qualifications
At least 3 years of payroll experience, with a preference for
candidates with experience in the trucking industry.
A college diploma in Accounting, Business, or Finance is preferred.
Possessing a PCP designation or working towards it is considered a
valuable asset.
Detail-oriented with the ability to prioritize and effectively manage
multiple tasks within tight departmental deadlines.
Must be organized and able to work with both exceptions and standard
procedures as they arise.
Capable of handling increased workload during specific periods, such
as covering for departmental vacations, handling December statistics,
and year-end responsibilities.
Proficiency in MS Office Suite is required; experience with AS400 and
HCMs is a plus.
Strong verbal and written communication skills.
In-depth knowledge of payroll processing principles, relevant payroll
legislation and regulations, automated payroll systems, internal
controls, audits, tax forms, benefits programs, and more.
Able to mentor, coach, and provide leadership and direction to Payroll
Department team members.
Can work independently with minimal supervision.
